1. Reminder about This Year's Winter Closure Dates
Winter Closure dates this year are:
Monday, December 22, 2008, through Friday, January 2, 2009
Normal business hours will resume on the morning of Monday, January 5, 2009.
Three (3) days are designated as paid holidays:
- Wednesday, December 24, 2008
- Thursday, December 25, 2008
- Thursday, January 1, 2009
Employees will also receive one additional day off with pay that can be used at any time during the Winter Closure period.
For regular workdays that are not designated by the University as holidays or the paid day off, employees must use PTO, Floating Holiday and accrued Vacation, or any combination thereof before taking Leave Without Salary (LWOS). Since unused 2008 Floating Holiday and PTO will be lost if not used by December 31, 2008, employees should use these first before applying Vacation hours.
There will be a number of employees who do not have sufficient leave time to cover all of these Winter Closure days. Regular staff will be given the option to borrow their 2009 PTO allotment and Floating Holiday. Staff may also borrow one month of Vacation accrual. Any additional hours not covered must be taken as Leave Without Salary (LWOS).
It is to the employee’s advantage to borrow time before electing LWOS because leave accruals and benefit contributions may be affected for employees who take LWOS.
Please note that Catalina Rodriguez (723-8257 or cjara@stanford.edu) and Gary Harris (726-0729 or garyh@stanford.edu) are available to help employees with low leave balances identify the best strategy for covering Winter Closure.

2. Flexible Spending Account Deadline
If you are participating in the Health Care and/or Dependent Day Care Spending Accounts (FSAs) you have until December 31, 2008 to use all the funds in your account. Eligible expenses must be incurred before December 31 to qualify for reimbursement. According to IRS rules you forfeit any money not spent by the end of the year. (You have until April 30, 2009 to request reimbursement of the expenses you incur in 2008.)
Some examples of expenses covered by your health care FSA include medical and dental copays, deductibles, prescription eyeglass or contact lens expenses, orthodontia, and certain over-the-counter medications.
You can check your account balance by visiting ADP’s Web site www.flexdirect.adp.com or by calling (800) 654-6695 to speak with an ADP customer service representative.

3. Winter Intersession and Winter Closure Hours - Now Available
The Winter Closure and Winter Intersession Hours for the Libraries have been updated and are now available on the Web. You can access both the Winter Closure and Winter Intersession updated hours at (http://library.stanford.edu/closures) as well as from a link in the Highlights space on SULAIR's home page. As in the past, we’ve also posted an additional page that lists a summary of the Libraries’ hours by dates. This page includes both intersession and winter closure dates (December 13 through January 5). The page is available by clicking on the Winter Closure/Intersession Summary by Date link located towards the top of the Winter Closures page.
Please note, in an effort to reduce printing cost, we will not be providing printed copies for all of the libraries. A link to a PDF file that’s formatted for printing is available at the top of both the Winter Intersession and Winter Closure Hours pages.
